Urban Roots Floral – Terms & Conditions

By booking services or making a purchase with Urban Roots Floral, the customer agrees to the following Terms and Conditions.

RENTAL & SERVICE PERIOD

Urban Roots Floral rentals and floral services are provided for the agreed-upon event date(s) specified in your contract. All rental items (e.g., arches, vases, stands) must be returned within 48 hours after the event unless otherwise noted in writing. The customer agrees that all rental property shall:

1. Not be altered or dismantled.

2. Not be exposed to excessive moisture, fire, or extreme damage.

3. Be used only for its intended decorative purpose.

Late returns may be subject to a $25/day late fee. Lost or excessively damaged items will be charged at 150% of the rental value.

INSURANCE & DAMAGE POLICY

A standard wear and tear policy is included in your pricing. This covers minor damage such as small petal tears or scuffs. However, the customer is responsible for replacement costs if items are returned:

• Severely damaged (e.g., burnt, waterlogged, moldy)

• Unreturned or missing

• Disassembled beyond reassembly

Examples of fees:

• Damaged centerpiece vase: $25

• Unreturned arch: $150

• Excessively stained floral runners: $40

DELIVERY, SETUP & TAKEDOWN

Delivery and setup services will be completed by Urban Roots Floral staff on the day of your event as outlined in your contract. A walk-through may be scheduled in advance to confirm logistics. Any post-event pickup must be confirmed and scheduled with our team. Urban Roots Floral is not liable for damage caused by venue staff or third-party vendors.

CANCELLATION & CHANGES

Event cancellations must be made in writing to urbanrootsfloral@gmail.com. The following cancellation policy applies:

• More than 90 days from event: Full refund of deposit.

• Less than 90 days: 50% deposit forfeited.

Changes to floral arrangements or decor may be made up to 14 days before the event. Within 14 days:

• Additions must be approved and invoiced separately.

• Deletions are not accepted.

• No substitutions below original value.

PRE-EVENT CONSULTATIONS

Each client receives a consultation to discuss floral vision, colors, and theme. Urban Roots Floral will provide a proposal and may conduct a venue walk-through. Once approved, changes are limited as per the terms above.

INTERNATIONAL SHIPPING (IF APPLICABLE)

If international shipping is requested for preserved or artificial florals, the customer is responsible for all applicable duties, taxes, or import fees.

RETURN OF PROPERTY & CUSTOMER BELONGINGS

All Urban Roots Floral rental items must be returned using original packaging or labeled bins. Urban Roots is not responsible for personal items accidentally left or returned with rental goods.
